Kick-off, the project management plan and project documents
Predictive · hybrid (agile: lighter plans, more frequent planning)Free preview
Goal: After this lesson you can describe the purpose of a kick-off, explain what the project management plan contains, and tell plans and baselines from project documents.
1The situation
Everyone heard something different
The robot cell's kick-off was a 20-minute call. Afterwards, the customer believed training was included; the mechanical team thought the guarding was subcontracted; the controls lead didn't know who approved design changes.
Two weeks later, three small disputes. Nobody had lied; they simply never heard the same story at the same time.
A good kick-off aligns everyone. A good project management plan keeps them aligned.
2The kick-off meeting
The kick-off starts the project with all key stakeholders: objectives, scope and exclusions, milestones, roles and responsibilities, communication, key risks and next steps. It builds shared understanding and relationships.
Kick-off happens after the charter is signed: not before the project is authorised.
3The kick-off
Purpose
Align everyone on objectives, scope, roles and ways of working; build relationships.
Typical agenda
Objectives and success criteria · scope and exclusions · milestones · roles and RACI · communication · risks · next steps
When
After the charter is signed; often at the end of planning (predictive) or before the first iteration (agile). Big projects: one per phase.
One meeting, one shared story.
4How it looks on the exam
Exam-style question 1. After a short kick-off call, stakeholders have different understandings of scope, ownership and approvals. What would have BEST prevented this?
A. A longer project charter
B. A well-prepared kick-off meeting with all key stakeholders covering objectives, scope and exclusions, roles and decision rights
C. More detailed status reports
D. A Monte Carlo simulation
Show the answer and the decode
Answer: B.
In simple English
Misalignment from the start.
What is the question really asking?
What would prevent it.
Key words / trigger
“different understandings”
PMP logic
The kick-off aligns everyone on scope, roles and how decisions are made.
Why the wrong answer looks attractive
Status reports come later; the problem started at the beginning.
5Remember this
Your memory card
Kick-off after the charter: objectives, scope, exclusions, roles, communication, risks
PM plan = subsidiary plans + scope/schedule/cost baselines
Project documents = logs and registers, updated as you go
Tailor the plan; baselines change only through change control
